VENDOR QUESTIONS AND ANSWERS (Q & A)
1. Are we able to bid on JUST your Chromebook Bags? Can we send you samples of our offerings?
Will you be needing any Student Headsets along with these new devices?
No. All materials and labor specified for this project must be included in all bid responses. No thank you on a sample. No student headsets required.
2. Good afternoon. I see that the district is currently advertising for new devices for the 2025 school year and beyond. My company specializes in the BUYBACK of the end of life/off lease or outgoing devices that are being replaced. We would be in a position to offer a good market value for the outgoing devices. Depending on what type of device you are replacing, the value of surplus chromebooks or laptop devices vary from $50 - $250. We can come in and provide our White Glove Service. Your staff wouldn’t have to do any of the labor to collect or package up the surplus devices. My trained staff go into schools all the time to do these type projects.
What’s your plan for the surplus devices being replaced? A buyback is not required as part of the scope of work, but once the district has awarded this contract, the district may request pricing for a buyback.
3. Vivacity Tech is excited to bid on Lakeview's Chromebook bid. We have an excellent partnership with Acer and feel we can offer great value with them. Would the school accept Acer as an alternative? No.
4. I am working on responding to the RFB for Lakeview PS and had a question concerning the
"padded bags" for the Chromebooks and Windows devices. Are they referring to a sleeve case with a carry handle or what did they have in mind? I just wanted to make sure we got the right item quoted for them. Carry handles and padded portion to protect the Chromebook. Black in color. No logos or printing required.

5. How many carts for the Chromebook are there? Model #(S), Sites, carts per site ? Can the work with the carts be done offsite such as picking up the carts and wiring all the systems of site and dropped off after completion?

6. Cables - do they need to provide additional cables or taking the power cables out of the boxes of the systems and wiring with those? Remove all existing power cables, power supplies, and cabling from the existing carts. Install new power cables, power supplies, and cabling for a fully operational charging cart populated with the Chromebooks.
7. What are the guidelines for the testing of the devices, how many need to be tested, what are the steps that need to be taken for the testing of these devices? See section 4.22. The expectation is the Chromebooks will be 100% operational with no physical damage and no

8. Equipment use training - What are the details for the training, what are they looking for with these trainings. Remove section 4.24.C of the RFB.
9. Section4 7.1b - does this mean all of the services need to be done onsite or can the configuration be done offsite ? How much space, power, internet can they provide for us to do this work onsite if required? Onsite services shall be performed at a single site with power, internet, and space to perform all tasks. Offsite services are not prohibited, but all equipment must be protected during transport and delivery. The offsite services would need to be clearly detailed in the bid vendor’s response. The district shall provide asset tags for each device.
The asset tag shall be placed in a common location on all Chromebooks as required by the district. The asset tag and device information must be provided in electronic form (Microsoft Excel) for all Chromebooks.
10. Section 4.7 1e - can you provide a list of delivery sites and quantities per sites for both chrome books and carts All work in carts shall performed in the building designated below.
