Solicitation 140D0425Q0226 Questions and Answers
A/V Contract Q&A February 19, 2025
1. Do you have dimensions of the rooms that you want av equipment installed in?
a. Yes.
Room 603 A/B (Training Room): 26.5’ x 23.42’ (621 sq ft); approximately 310 sq ft for each A and B side.
Room 609 (Huddle Room): 11.75’ x 9.83’ (116 sq ft) - Note, equipment is installed, except room scheduler.
Room 610 (Executive Office): 12.83’ x 13.5’ (173 sq ft)
2. Is there an IDF room where we can put a rack or is all the equipment needed to be installed behind the TVs?
a. Preference is for AV equipment to be maintained in the Room 603 A/B
(Training Room). There is access to an IT / Telecom closet (Telecom West on figure provided).
3. For the Room 609 Huddle room do they just want a scheduler touch panel or do they want video conferencing equipment in the room as well?
a. Scheduler touch panel only, on the outside of room.
4. Is the client interested in looking at an all-in-one conferencing TV for their executive office? It will allow for whiteboard, microsoft teams, zoom, google meets. It will have an integrated computer inside of it.
a. Preference is for a separate monitor and conferencing camera and audio system to support Teams, Zoom, Google Meets, etc. Preference for the conferencing camera and audio system is for an appliance type (i.e. android or similar) based system that may be integrated into a device management system (i.e. Microsoft Intune).
5. Can you provide details on the length and type of cables required for installation?
a. Cable instillation will be device and location specific and should be provided by any quote. Arrangements can be made for pre-bid site evaluation.
6. What screen size and brand would be preferred for this project?
a. The contractor should provide a recommendation of the size using standard method (e.g. 4/6/8 or 150:1 rules, or DISCAS standard). Contractor should consider the type of camera system and orientation in recommending a display size. Display should be at least 4K resolutions supporting QLED / NLED or similar backlighting. Examples of display brands currently in use in the office include Vizio, Samsung and LG. Arrangements can be made for pre-bid site evaluation.

Per the PWS:
Room 603 A/B (Training Room) - Each room should have two large screen size (typically 55-86 inches).
Room 610 (Executive Office) - Space should have a single large screen size (typically 42-55 inches).
7. To confirm, will the design phase commence after the contract is awarded, or should it be completed beforehand?
a. Design Services: The Contractor shall provide planning and design services to facilitate A/V Communication Equipment Installation in the RSU office in B67 on the Denver Federal Center. The Contractor shall work with the COR and others within DOI to discuss the approach to meet the space and equipment needs.
The Contractor shall submit a detailed Design Proposal outlining the layout and placement of all A/V equipment and installation of wiring, cabling and/or any connections needed, within two weeks of contract award.
Prior to contract award, as part of the contractor’s proposal during the solicitation period, the contractor should propose a draft design and design alternatives plan for the government to consider during proposal evaluations. After contract award, draft design plans will be discussed with the government, adjusted as necessary, and then a final design plan will be approved to move forward.
8. Will there be a site visit? If so, could you kindly confirm the location and scheduled time?
a. Unfortunately we are unable to provide a site visit.
