About this file

This document is an Addendum #1 to Request for Proposal (RFP) 25-FIN-064 issued by the City of Arvada's Purchasing Division for a Budgeting Software Tool. The addendum, dated August 1, 2025, revises the original RFP Attachment A to add content and correct score calculation errors, with proposals still due on August 27, 2025, at 2:00 PM MT. The document includes a revised requirements spreadsheet and answers to four vendor questions, maintaining the original questions deadline of August 11, 2025. The solicitation seeks a comprehensive budgeting software solution that can integrate with the City's Workday ERP system, supporting functions such as budget projections, requests, scenario planning, forecasting, and program and personnel budgeting.

The addendum provides key insights into the City's requirements, including a user breakdown of 7 system administrators, 7 budget users with read/write access, and 20 read-only users. The City previously owned and evaluated Workday Adaptive Planning but determined it would not meet their needs. The software must support advanced features like 10-year budgeting, multi-scenario planning, capital project tracking, and strategic goal alignment, with strict technical requirements including multi-factor authentication, ADA compliance, 99.9% system availability, and SOC 2 certification. The procurement aims to support the City's 2027-2028 bi-annual budget cycle, with the successful vendor expected to provide not just the software tool but also implementation support and potential ongoing technical assistance.
