About this file
The document is a Request for Information (RFI 2025-14) issued by Valencia College in Orlando, Florida, seeking information from suppliers about a Student Communication System involving chatbot and call center technologies. The RFI aims to gather details about potential software solutions that can effectively address student questions, create an escalation process for unresolved inquiries, and support both prospective and current students across the college's eight campuses. Responses are due electronically via VendorLink by April 10, 2025, at 10:00 AM, with a question cut-off date of April 3, 2025, at 10:00 AM. The college is looking for solutions that can integrate with or potentially replace existing systems like Banner (ERP), TargetX (CRM), and PureCloud (Call Center).
The RFI outlines specific business objectives, including implementing an intuitive communication solution, increasing the proportion of successfully answered student questions, improving application and enrollment processes, and reducing operational communication costs. The target environment involves supporting approximately 74,000 students and 4,970 faculty and staff through automated and human-assisted communication channels. While the RFI does not constitute a formal solicitation and does not promise future procurement, it seeks to determine if sufficient service options exist to warrant a formal Request for Proposals (RFP) or Invitation to Negotiate (ITN). The college will not reimburse vendors for costs associated with responding to this RFI, and submission does not guarantee future participation in any subsequent procurement process.
