Performance Work Statement (PWS) Pearl Harbor Naval Shipyard & Intermediate Maintenance Facility (PHNSY&IMF)

Apprentice Graduation Ceremony Venue

1.0 Background

In 1920, Pearl Harbor Naval Shipyard began an apprentice program to hire and train workers to repair United States Navy submarines and ships. The apprentice program evolved into an invaluable asset to our country's national defense. When apprentices complete the program, a graduation ceremony is held to celebrate their successful program completion and continued career at the shipyard. The graduation ceremony is of particular importance to recognize the accomplishments apprentices achieved while in the program and to celebrate the event with coworkers, friends, and family.

1.1 This Performance Work Statement (PWS) defines requirements to be provided by awardee in support of the Pearl Harbor Naval Shipyard & Intermediate Maintenance Facility (PHNSY&IMF) Apprentice Graduation Ceremony, during the timeframe determined by PHNSY&IMF.

2.0 Scope / Objective

2.1 The awardee, hereafter referred to as the Contractor, shall provide a venue that has capacity to support the PHNSY&IMF Apprentice Graduation Ceremony and has adequate parking on or near the premises.

3.0 Performance Location

4.0 Period of Performance

Date: (08/14/23 through 12/22/23; prefer to hold the event during the week of 10/10/23 or 10/16/23) Time: 10:00 am ‐3:00 pm (5 hours)

5.0 Performance Requirements

The Contractor shall provide the following for the PHNSY&IMF Apprentice Graduation

Ceremony.

5.1 Room ‐ Provide an air‐conditioned room with dimensions capable of comfortably accommodating 900 people in theater seating configuration. Provide male and female restrooms adequate for this quantity of people.

5.2 Stage ‐ Provide stage with dimensions of approximately 20’ wide x 10’ deep x 1’‐2’ high, with access steps on both sides of stage. Stage shall include lectern and three tables (approximately 2’ x 6’ table top) covered with tablecloths.

5.3 Seating ‐ Provide 900 matching or similar chairs, arranged in theater seating in front of and facing stage. See sample in Figure 1.

5.4 Audio ‐ Provide an audio system capable of being heard throughout the entire room (e.g., overhead speakers or portable system spread throughout room), including a microphone on the lectern. Provide a method to connect an audio player to the audio system.

5.5 Reception Area ‐ Provide four tables (approximately 2’ x 6’ table top) covered with tablecloths and four chairs.

5.6 Refreshments ‐ Provide water stations and adequate amount of cups for 900 people.

Provide trash receptacles.

5.7 Parking ‐ Confirm adequate amount of parking available on or near premises for event attendees. If available, provide 15 reserved stalls for VIPs attending the event. If available, provide both hosted and non‐hosted parking validation options.

5.8 Miscellaneous Support ‐ Set up room prior to start of event, clean and restore room after event, and dispose of trash. Provide a point of contact that will be available for any government requested site visits, for planning and scheduling purposes, and to address any issues prior to and during the event. Provide security and/or medical support, if required by venue. Provide a safety plan, if required by venue.
