Receiving Guidelines

Iron Mountain and the many vendors who serve our clients have a shared goal: to support our customers’ marketing efforts in the most professional way possible.

This document provides information that will help ensure that materials are received in a manner that:

The most important step toward a well-managed inventory is the first one: receiving inventory items in a consistently quick and accurate way.

— Gets material stored without damage

— Gets printing bills paid fully and quickly

— Is fast

— Is accurate

GUIDELINES FOR PREPARING

SHIPMENTS TO IRON MOUNTAIN

CARTONS

1. Cartons should have 200 pounds bursting test.

2. Cartons should not weigh greater than 50 pounds.

3. Each carton should be marked with the:

• Stock #, Part #, or Control #

• Quantity

• Description

4. For a multiple carton shipment, every carton should be uniform in size and type.

5. For a multiple carton shipment, every carton should contain exactly the Same quantity of the product; one carton with a lower count is acceptable.

6. The partial carton should be clearly marked.

PALLETS

1. Pallets of material must be shrink-wrapped.

2. Pallets should be 42"x 48" size with a maximum height of 48".

3. The Stock number and quantity markings should be visible on each carton When stacked on the pallet.

4. Cartons should be stacked on a pallet in a staggered manner to ensure maximum stability.

PACKING SLIPS

1. Each shipment must include a packing list.

2. The packing list must contain the following information:

• Stock #, Part #, or Control # • Item description

• Carton count • Quantity per carton

• Total quantity • Name of vendor

• Client PO # (If applicable) • Iron Mountain Advance Shipping Notice (ASN),

• Name and phone # of requester if supplied by customer

3. Deliveries can be made Monday through Friday, 8:00 AM to 5:00 PM, at most Iron Mountain Facilities. Check with the Facility to confirm exact receiving hours.

Well-labeled boxes and complete packing slips will provide accurate inventory information for the Iron Mountain GroupTrak™ inventory ordering and management system.

Following these guidelines for carton and pallet labeling on all shipments sent to Iron Mountain ensures that material will retain its integrity throughout its warehouse life at an Iron Mountain Facility.
