The following square foot pricing matrix we have developed is based on the historic data for completed projects. This pricing is inclusive of the typical project management, design, fabrication, and installation labor as well as materials, equipment, transportation, and travel of an exhibit project. The square foot price is relative to the services provided (labor), the complexity of the exhibit (static, interactive, or immersive; unconditioned vs. micro-climate cases; etc), and the cost of materials used (plastic laminate v. furniture finished hardwood; computer equipment; type and quantity of graphics; etc). By considering the size of the client’s exhibit space, their internal capabilities and/or existing work, and the type exhibits desired, we are able to use the following information to establish an accurate, fixed price within a wide budget range.
In general, the price of an exhibition can range anywhere from $150 to $650 per square foot including planning, design, and fabrication. A mid-range average is under $300 per square foot for planning, design, and fabrication in a design/build project. Pricing depends primarily on the services you require and the level of interactivity and/or audio-visual you would like in your exhibits. In addition to basic structures and graphics, the mid-range budget would provide active vignettes, hands-on interactives, plus button-activated audio repeaters with off-the-shelf speakers. A bit higher and you're moving into the territory of moving images…original video production can run $10,000 per finished minute, inclusive of all production-related expenses, exclusive of cabinetry and equipment. Using stock footage saves money, but museum-quality (durable) equipment is still a cost factor. Touch screen interactive costs start at a minimum price of $25,000 and go up from there. Up in the $400 per square foot and higher range and you are in the world of immersive environments, lots of hands-on exhibits, multi-media and av based exhibits with speakers designed to prevent sound bleed, and touchscreen or theater-quality visual displays.
In order to simplify the presentation of these budgets, we have created three scenarios: Immersive Environments (high), Themed Vignettes (mid), and Traditional Exhibitry (low). These three levels share similar levels of interpretation; however, each level utilizes different exhibit delivery systems, levels of technology, and materials. Each of the following budgets includes the planning, design, project management, fabrication, and installation costs to produce the exhibit.
Scenario 1: Immersive Environment
$540 per square foot Immersive Environments will surround the visitor in an engrossing setting, framing the interpretive content within a realistic and comprehensive or otherwise complex setting. Lifelike structures, fiberglass reproductions, and scenic groundwork with walk-through dioramas leave little to the imagination. The highest-level of interactive exhibits are possible in this scenario, combining hands-on /mechanical interactives such as flipbooks, discovery drawers and doors, sliders, and wheels, with highly interactive, electronic, multi-media exhibits presenting information in the form of hands-on puzzles and games. Computer interactives, audio and video will be used extensively throughout supplementing text, graphics, and artifacts. Video presentations could play on monitors set into text rails or graphic panels. Audio, perhaps triggered by infrared sensors could deliver oral histories, news reports, sound effects, atmospheric music, or environmental sounds. All areas will be rich with interactive elements produced using unique finishes and special materials. Artifact cases could feature microclimate technology and conservation quality, fiber-optic lighting. In general luxurious finishes and materials can be used -- furniture-finished hardwoods or metals instead of laminates, for example. Graphic banners, ceiling treatments, and specialized lighting complete this immersive environment.
Scenario 2:
Themed Vignettes
$283.50 per square foot
Themed Vignettes will put the visitor in a contextual setting with stylized fragments of dioramas or structures typically found in an Immersive Environment. A more strategic and limited use of scenic treatments and murals will suggest the contextual setting, replacing the full reproductions, groundwork, and walk-through dioramas of the Immersive Environment. Interactive exhibits will still be of a hands-on/mechanical variety but will be used in lesser quantities than in Scenario 1. Possible interactives for this scenario include devices such as flipbooks, discovery drawers and doors, sliders, and wheels. Limited multi/media programming could be achieved within this budget. A/V will be used less extensively than in Scenario 1. Existing or lower end original video delivered to monitors set into text rails or graphic panels would replace theatrical productions. Audio, perhaps triggered by infrared sensors or push buttons, can dramatically supplement graphics and artifacts. Limited use of themed floor or ceiling treatments and/or environmental graphics could be utilized in this scenario.
Scenario 3: Traditional Exhibitry
$199.80 per square foot
Traditional Exhibitry, means basic exhibits that tell stories using a variety of rather static delivery systems such as text-rails, graphic panels, and artifact cases. Rather than creating an environment, these exhibits are placed in an existing setting and rely on the content alone to create the interpretive experience of the visitor. Much of the information that was presented as mechanical or electronic interactives in Scenarios 1 and 2 will take the form of text and graphics. Low-tech interactive exhibits will be of a hands-on/mechanical variety and will be used in limited quantities. Limited use of audio or video can be achieved at this budget level only if production costs are kept to a minimum and hardware is off-the-shelf.
Exterior signage such as wayside interpretive panels, trailhead signs, maps, and informational and/or interpretive kiosk panels as well as the aluminum or pressure-treated wooden stands/frames to display exterior signage would fall within this budgetary scenario as well.

For calculation of the GSA Schedule price (price paid by customers ordering from the GSA Schedule, and the price to be loaded in to GSA Advantage), the contractor should deduct the appropriate basic discount from the list price and add the prevailing IFF rate to the negotiated discounted price (Net GSA price). Current IFF rate is 0.75%.
