Information Management Consultant

Functional Requirements: Provide your customers solutions that will not only address their problems but will lead them on a path to document optimization with an Enterprise Content Management Suite of Tools where you can fulfill their complex document management, collaboration, and project management needs on the cloud with a specific focus on our Archiving and Information Management Solution. They will address their problems and lead them to document optimization with an Enterprise Content Management

Minimum Education: Bachelor’s Degree

Minimum Experience: 5 years minimum experience providing technology services, specifically document management/archiving services.

Document Prep Clerk

Functional Requirements: Receives, processes, and maintains orders for preparing documents targeted for scanning. Duties include reading and understanding the work order before starting the job to ensure the job is done correctly and to the highest degree of quality, accuracy, and satisfaction.

Minimum Education: High School Diploma

Minimum Experience: None

Information Management Operator

Functional Requirements: Assumes and Returns custody of customer documents, tracking and inventory control of source documents, document preparation, image acquisition, indexing, image processing, image posting, and cloud solutions. Responsible for quality control of AIM Services. Serves as customer’s primary operations point of contact for AIM Services and oversees customer service activities.

Minimum Education: Bachelor’s Degree

Minimum Experience: 5 years minimum experience managing a commercial document scanning operation.

AIM Scanner Operator

Functional Requirements: To operate digital imaging equipment to produce image acquisition from various source documents. Scanning will be used to file the hard copy job following project operating procedures. Inspect finished work for sharpness, the density of lines, position, count, and sizes. Operate document scanners and related equipment.

Minimum Education: High School Diploma

Minimum Experience: None

AIM Operations Director

Functional Requirements: Audits quality control processes to ensure errors and potential defects are absolutely minimized or eliminated. Serves as the customer’s primary operations point of contact for large

AIM projects. Plans and directs production activities and establishes production priorities for large AIM projects in keeping with effective operations and cost factors. Confers with AIM Production Management to establish production and quality control standards and procedures. Develops quality standards and implements, evaluates, and modifies inspection criteria and procedures with AIM management, departmental, and branch managers. Review and analyze production, quality control, maintenance, and operational reports to determine causes of nonconformity with project specifications and operating or production problems. Develops and implements operating methods and procedures designed to eliminate operating problems and improve product quality and workflow.

Minimum Education: Bachelor’s Degree

For the purposes of the MAS Solicitation, eight (8) specific elements of Electronic Records

Management (ERM) Services have been identified. These 8 elements are fully defined and the corresponding requirements are identified in NARA’s Universal Electronic Records Management

Requirements spreadsheet attachment to the Solicitation. These requirements have been established and are administered by the National Archives and Records Administration (NARA). Vendors may provide any combination of the 8 elements of ERM solutions; however, vendors must certify that they are capable of meeting all standards associated with the elements they propose by completing this self-certification. Vendors must include a completed copy of this certification in their published

GSA MAS Contract Price List to help illustrate their ERM capabilities to federal customer agencies.

ARC Document Solutions has been a high-volume provider of Document Scanning

Services throughout the US with 140 dedicated scanning service centers. Digitizing Photographs or any other type of hard copy or film records and associating them with digital records are covered under SIN

518210ERM.

We are FADGI 3 Start, HIPAA, and SOC 2 comliant along with ISO certification for quality. We can handle any Federal document conversion project and provide the digitization and digital records attribution needed.

ARC Document Solutions is also capable of supporting SIN 518210DC - Document Conversion &

Digitization Services, a new SIN Subgroup created under 518210DC: “NARA-Compliant Digitization

Services for Federal Records.” NARA recently published digitization regulations for permanent records.

This Subgroup under 518210DC conveys to agencies that ARC Document Solutions has the capabilities to meet their records digitization requirements.

Please note that ARC Document Solutions has the following qualification to serve agencies with the

ERM and Document Conversion needs as we meet the following requirements:

o Only vendors that have capabilities offered/awarded under SIN 518210DC that meet NARA’s digitization requirements for BOTH temporary and permanent records are able to add this SIN subgroup for SIN 518210DC. By adding this SIN Subgroup, contractors are self-certifying they meet NARA’s digitization requirements/standards for temporary AND permanent records.

o Contractors under SIN 518210DC who wish to be added to the “NARA Compliant Digitization

Services for Federal Records” SIN subgroup are required to review and reference NARA’s

Digitization Regulations for Temporary Records (36 CFR Part 1236 Subpart D) and Permanent

Records (36 CFR Part 1236 Subpart E)

Our services include professional document preparation, indexing/data entry, customizable file naming, OCR, B/W, color, small items, standard, legal, ledger and large format engineering documents sizes including microfiche or microfilm. We scan an array of documents: federal, state, and local governmental records of all types including records that contain PHI, PII and HIPAA regulated records. We can mobilize to provide onsite services or perform onsite to provide secure document conversion services and even “air-gapped” solutions where the document conversions are processed entirely without any internet connections.
