The project involves designing, supplying, installing, testing, and commissioning a new integrated PA and Clock system for a total of 121 endpoints distributed across Elementary, Middle, and High School buildings, including standard indoor speakers, loud indoor speakers with visual indicators, hallway speakers, and outdoor weather-resistant loudspeakers. Key dates include RFP distribution on April 15, 2025, a mandatory walkthrough on April 22, 2025, proposal submission deadline of May 8, 2025 at 10:00 AM EST, and an estimated award date of May 19, 2025. The project timeline requires completion prior to August 11, 2025, with full system functionality needed for student arrival on August 12, 2025.

The system requirements specify a windows-compatible, on-premises control system with secure cloud-based remote access, multi-factor authentication, and integration capabilities with emergency alert platforms, access control systems, and communication technologies. Vendors must provide a mass notification system that integrates with SMS, email, digital signage, and mobile apps, and includes full phone integration for emergency communications. The bid emphasizes comprehensive coverage, audio quality, ADA compliance, and visual alert support. Vendors are required to submit detailed proposals including speaker types, coverage areas, placement strategies, and a 3-year parts warranty. Additional submission requirements include completing Attachments A through E, which cover vendor information, Iran Economic Sanctions Act compliance, familial disclosures, and a detailed cost analysis. The project is subject to Michigan Prevailing Wage Act requirements, and Dansville Schools seeks the best overall value rather than the lowest bid.
