Questions & Answers
1. The solicitation specifically calls out “Training Rooms” and “Breakout Rooms”. Are these different or are they the same? We noticed different requirements for those rooms, so we just wanted to double check.
- Training Rooms and Breakout Rooms are different. Training Rooms are used for the delivery of our classes and should be able to support twenty-four to thirty (24-30) learners and two
(2) instructors. Breakout Rooms are used to support learning activities of small groups consisting of six to eight adult learners and one facilitator. Three to six (3-6) breakout rooms should be available for use while classes are in session.
2. The document also references General Session on page 54, but we were unable to locate any mention of AV needs for a General Session. We just want to make sure we are not missing part of the document.
- AV requirements for general sessions and breakout rooms are in section 2.1 Task 1.
3. For your equipment hardware request of four monitors and laptop for the training room is that also in addition to the av equipment where it lists out a projector package?
- Yes
4. You are requesting a microphone in the Training Rooms. Is a podium microphone good?
- Yes
5. Under Wi-Fi/Internet Access on page 55, there is a mention of “Live links”. Are these just links to documents, or are they links to video playback with sound?
- Video playback with sound
6. Pricing for option years
Lodging fee will be based on the prevailing per diem at the time of the delivery | training. While the lodging per diem is currently available through 9/30/2022 – the per diem beyond FY ’22 is not available at this time. Will it be acceptable to provide pricing based on the current per diem and make a note on each item of any price adjustment (i.e., price increase of no more than 5% from previous year on AV | Equipment | Airport shuttle, etc.
Or, how would you like us to provide pricing for Year 2-5?
- You will not be actually providing a proposal for lodging costs, only the cost to block the rooms that are within the required per diem. The individuals attending the training will pay their own lodging costs.
7. Miscellaneous Training Support Room
Printer | copy machine must be accessible… will FAA need their own printer | copy machine? How big are the printing | copying jobs? How would FAA pay for this service or do we need to include this service in the pricing we’re providing in our proposal?
- No, just access to print class rosters and networking documents. Include the service in the pricing.
8. Schedule of Offering Is FAA expecting to hold sleeping rooms and meeting space for the dates provided? If so, until when will the venue be expected to hold the dates? How many offerings for each date so we know how much lodging and meeting space to hold?
- Yes. Two week prior to the start of class. Dates are identified in Section 5 of the SOW.
9. Meeting Space
Will Conference space & breakout rooms need to accommodate a set up with social distancing in mind? 3’ away from each other? 6’ away? Please specify preference | request | expectation
- Yes – must follow CDC guidelines.
10. Storage Room – will each program need their own storage room or could the venue provide (1) FAA storage space? IF acceptable to provide (1) FAA storage, what square footage would be needed?
- One storage space. We need enough space for our supplies like charts, books, easels, and possibly computer equipment.
11. References The contact information is the person who we worked with at the time of the delivery. Most, if not all has moved on and no longer the current contact. Which contact would you like us to provide?
- It would be in your best interest to provide a point of contact that has experience working with your company on the specific contract you are using as a past experience/performance reference.
12. We supported FAA ATO & FLLI programs for the past 5 years (2015-2019, SYFY | NMC | ATLDP |
TOLDP | ) however, their contracts only covered the training expenses and therefore, Purchase Orders were minimal. Lodging & Meals were paid by individual students. The value of the program could be over $1,000,000.00 if all were added together – will it be acceptable if I added the lodging and meal package even if the contract didn’t cover that cost?
- It would be in your best interest to provide a thorough breakdown of the requirements and description of how your company met those requirements.
