3 Uses knowledge of an office's work and routine to perform tasks consisting of numerous steps that vary in nature, sequence, and complexity in support of organizational administrative requirements. Provides communication support to include answering phones, routing calls, relaying messages. Performs document/record management by scanning, copying, faxing, printing, filing, retrieving, sorting and disposing of electronic and hard copy files and documents.

Reviews and reconciles documentation in electronic and/or hard copy format, including editing, updating, consolidating, formatting and manipulating documents using office software. Monitor multiple general and specific delivery email boxes daily; review email to determine urgency and forward or prepare responses, follow-up and route appropriately. Schedules appointments: coordinates availability and use of shared resources such as conference rooms and meeting spaces. Escorts visitors requiring entry to controlled access areas. Assists with travel arrangements. Retrieve, receive and distribute incoming mail and packages received by the office;

package and label items to be mailed or shipped.

5 Uses unique qualifications, skills, and/or relevant experience in support of office or an organization’s administrative requirements. Performs and/or supervises day-to-day administrative support services such as clerical/secretarial, data entry, payroll administration, preparation of reports, record keeping, travel scheduling, notetaking, meeting management;

review and quality control of correspondence, purchasing/requisitioning supplies, and other logistics support functions. Facilitate purchases as determined by the client, receive inventory, assure that received inventory is complete and document missing, short or usual items received. Store, package, label, mail, ship and distribute received inventory and equipment as required. Facilitate high-level communication and coordination between the client’s directorates or offices and external contacts to facilitate meetings and other related events. Coordinate input from divisions/offices/branches and prepare reports for management review. Coordinate and attend executive and high-level meetings for the purpose of preparing agendas, capturing and publishing meeting notes as directed. Participate in meetings and briefings for the purpose of taking meeting notes and publishing meeting minutes.
