Accountant Preparing and maintaining important accounting and financial reports. Preparing tax returns and ensuring that taxes are paid properly and on time. Evaluating financial operations to recommend best practices, identify issues and strategize solutions, and help organizations run efficiently. Must have strong MS Excel and General Ledger experience.
Accounting Clerk The primary responsibility is data entry in our Accounting Dept. Provide accounting and clerical support to the accounting department. Type accurately, prepare and maintain accounting documents and records. Prepare bank deposits, general ledger postings and statements. Reconcile accounts in a timely manner. Daily enter key data of financial transactions in database. General knowledge of Accounts Payable and Receivable are required along with working knowledge of MS Excel.
Jr. Administrative Assistant Routine administrative work of limited scope and responsibility but including coordinating and monitoring phases of projects and/or programs, performing research and compiling information to resolve issues and problems.
Must be organized and have working knowledge of MS Office. Will also have Data Entry duties and provide general office support.
Administrative Assistant Administrative assistants play an important role in organizing, managing, and keeping an office running. Most administrative assistants are responsible for clerical and organizational tasks like file organizing, scheduling appointments, assisting other staff members, and drafting correspondence or messages. Proficient computer skills, including all Microsoft Office applications and Microsoft Teams. Must be detail oriented and able to manage multiple projects.
Clerical Work
Performs clerical duties including typing, filing, data entry, and completion of simple forms. Operates office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment. Answers phones, directs calls to appropriate individuals, and prepares messages.
Communications Specialist Principal Duties and Responsibilities: Internal Communications and Collaboration Track and report on the organization’s media hits as part of a larger effort to monitor progress in increasing public awareness of the organization. Produce daily morning media report summarizing the organization’s global media hits for all offices and distribute report to all organization employees. Assist in researching for op-eds, press releases, and social media efforts as needed. This includes flagging articles worthy of a tweet/comment from the organization’s CEO, identifying new media contacts, flagging news topics we should be present in, and monitoring media requests. Assist in drafting tweets for the organization’s press twitter and the CEO’s twitter. Update an outreach tracker to keep track of media conversations including topics, needs, and next steps.
Administrative duties will include assisting in the standardization of media reporting (tools and templates) for the organization’s HQ office. Keep internal organization informed of the organization’s recent victories and media coverage through the production of a bi-weekly media report. Assist in identifying organization news to add to the international website.
Customer Service A Customer Service Representative is the first person most customers communicate with when they have a problem. The Customer Service Representative must handle complaints, provide appropriate solutions for customers, and follow up to resolve any issues their customers experience either by phone or through email messages.
Jr. Database Work A junior database administrator is in charge of managing and overseeing databases, reporting to senior administrators as needed. Their responsibilities typically revolve around coordinating with different departments to research, gather and ensure data accuracy, maintaining records of all transactions by updating databases, identifying errors or inconsistencies, and performing corrective measures as needed. They may also provide support to staff in complicated areas and resolve issues promptly. Furthermore, as a junior database administrator, it is essential to monitor the performance and security of databases to ensure data safety and smooth workflow. Must be organized and detail oriented.
Database Work Designs, implements, administers, and monitors data management systems and ensures design, consistency, quality, and security. The database administration involves the installing, configuring, monitoring, maintaining, and improving the performance of databases and data stores. While design of databases would be part of solution architecture, the implementation and maintenance of development and production database environments would be the work of the DBA. Will also research ongoing issues and implement programming upgrades when necessary. Must have strong MS Excel skills.
Data Entry Maintains database by entering new and updated customer and account information. Prepares source data for computer entry by compiling and sorting information. Establishes entry priorities. Processes customer and account source documents by reviewing data for deficiencies. Data can be alpha or numeric data. 10-Key skills are needed for numeric data entry.
Executive Assistant An executive assistant helps the executive for whom they work with tasks such as scheduling; reviewing, prioritizing and responding to emails; answering and returning phone calls; organizing documents; maintaining records; reporting and taking notes at meetings and any other administrative tasks that help the executive perform their job.
Filing A File Clerk, or Filing Clerk, organizes and files certain company documents and records like invoices, receipts and forms. Their main duties include collecting documents from departments, developing an effective document storage, and filing system and digitizing hard copies of documents.
Systems Administrator System Administrators organize, install, and support an organization's computer systems. These include local area networks (LAN), wide area networks (WAN) and other data communication systems such as intranets or internet cafes within their company. System Administrators are responsible for managing, troubleshooting and proactively updating hardware and software assets to prevent downtime or zero-day exploits from occurring. Help Desk experience is required along with experience working in an Office 365 environment.
Human Resources Talent management, compensation and employee benefits, training and development, compliance, and workplace safety. Provide organizational structure and the ability to meet business needs by effectively managing the employee lifecycle. Recruiting, onboarding, and communications skills are required.
Human Resources Assistant Maintains accurate and up-to-date human resource files, records, and documentation. Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, budgeting, etc..
Refers more complex questions to appropriate senior-level HR staff or management.
Legal Assistant A Legal Assistant, or Paralegal, is responsible for helping Lawyers and other legal professionals prepare for trials or court cases. Their duties include answering phone calls and greeting clients, contributing to fact-checking, database research, compiling case evidence and communicating with court employees to confirm court dates.
Must be familiar with legal terminology.
Mailroom Clerk Operates mail machines including the postage meter, photocopying machine, and mail folding and inserting machine in the mailroom. Processes and weighs outgoing mail and must be organized. Maintains records of receipt, mailing dates, and other required information. Replenishes postage on the postage meter as needed.
Will also provide overall general support to organization facilities.
Meeting/Event Planner A meeting planner makes professional decisions in all areas of meeting preparation and presentation. They plan meetings and events, establish meeting objectives, schedule meetings, budget expenses, inspect meeting sites, negotiate with suppliers, and create a speaker lineup. Must be organized and accurate when managing projects and related logistics.
Office Services An office services assistant is in charge of performing clerical support tasks in an office. Their responsibilities often revolve around preparing and processing documents, answering calls and correspondence, greeting visitors, answering inquiries, relaying messages, receiving and disseminating letters, and devising strategies to optimize office procedures. These may include filing, shredding, helping with facilities logistics and other similar duties. They may also participate in procuring supplies, keeping them organized at all times. Furthermore, they must maintain an active communication line with staff, coordinating with them on different activities to maintain an efficient workflow.
Program Coordinator A program coordinator is an employee who plans, coordinates, and oversees employees and logistics for various programs or projects for their employer. They are responsible for maintaining budget and records pertaining to the program expenditures, compliance, implementing policies and procedures, and organizing the activities and agenda for the program. Must have working knowledge of MS Office including MS Excel.
Project Manager Project managers play the lead role in planning, executing, monitoring, controlling, and closing out projects. They are accountable for the entire project scope, the project team and resources, the project budget, and the success or failure of the project.
Receptionist A Receptionist’s duties and responsibilities include answering phones at the front desk, meeting and greeting visitors, helping them navigate through an office, and supplying them with refreshments as they wait. In addition, they maintain calendars for appointments, sort mail, make copies, and plan travel arrangements.
