LABOR CATEGORY DESCRIPTIONS
Administrative Assistant I
Responsibilities:
• Sets up administrative procedures for the Branch/Division.
• Keyboards and/or word processes text and information such as letters, reports, memos and presentations
• Composes correspondence, reports and memos and presentations.
• Arranges meetings and conferences and keeps minutes of records
• Submit requests for meeting rooms and equipment within 1 day after notification of a meeting.
Follow ups within 30 minutes prior to the event to ensure appropriate equipment and materials are provided.
• Prepares and maintains expenditure records or spreadsheets.
• Maintaining an inventory of supplies.
• Makes and schedules appointments.
• Sets up and maintains file systems.
• Implements plans for space requirements, tracking of employee travel, and tracking of employee absences.
• Answers phones, takes messages and routes calls.
• All calls and email requests will be answered in a timely, courteous and professional manner, directed as appropriate or messages are taken. There should be no more than one substantiated complaint per month.
• Receives visitors and answers routine inquiries regarding administrative policies and procedures.
• Uses time and attendance reporting system to maintain and review records. Identifies any issues with completeness and accuracy of records. Makes travel arrangements, creates travel orders, requests and vouchers administration/processing (including necessary memos, international travel, etc.) Processes all travel within 5 days of receipt; urgent requests will be identified and processed within 1 day of receipt.
• Maintains and updates “Actual” travel tracking spreadsheet, which shall be updated within 1 day of entering travel requests and updated within 1 day of submitting travel vouchers to maintain
“real-time” travel expenditure records.
• Prepares and tracks Branch travel projections/expenditures.
• Enters vendor training orders for staff and forwards for approval with supporting documentation through the approval chain.
• Completes credit card request forms for staff and records spending in Branch credit card spending spreadsheet
• Maintains phone coverage for main lines from 8:00 am – 4:30 pm. Serves as back up to other support staff.
• Receives visitors and coordinates security clearances.
• Receives and distributes packages received through the mail.
• Coordinates overnight mail packages by developing packing slips and delivering the packages to the appropriate campus site.
• Prepares forms and operates office equipment and submits maintenance/repair requests to the appropriate CDC office.
• Develops/maintains a system to fulfill health education publication requests, follows up with partners, distributes mass mail outs, and maintains an inventory of publications for the Team.

Responsibilities:
• Provide biological scientific support using standard techniques to identify and characterize biological and/or other agents that cause these illnesses/diseases

(CLIA, respiratory protections, etc.)

• Research, analyze and report to emergency response Task Force leadership and program leadership on executive directives, Departmental policy issuances, and other highly visible actions to determine their relevance to the COVID 19 response and recovery
• Research, develop and compile materials to explain CDC public health activities to the general public and to specific groups including legislative subcommittees, state policy makers, and other groups interested in specific program activities
