1- Can the contractor HIM technicians work remotely if information is kept per hippa and privacy act? Yes, a Contractor can work remotely. A VA laptop, access to CPRS, access to our shared drive where we put in referrals, etc. It would be very hard to operate otherwise. They will use an ROI when first reaching out to Veterans and their families as well.

2- Will there be any level of security clearances required for this role and will the VA furnish them? Yes, they will go through fingerprinting, PIV card, laptop, etc. Also, will have a VA email account. This will be time consuming to get through and possibly take several months before you may get started due to all of the set-up processes.

3- Can invoices be paid every 2 weeks for this contract?

Monthly is preferred, which may be a little more manageable.

4- Can the government please confirm that the expectation is for the contractor to provide staff local to the Charleston, SC area so that as needs are identified, a meeting can be scheduled with the patient and a Medicaid application can be taken and submitted within 72 hours? Yes, within

72hrs

5- Are patients that visit the outpatient clinics going to been screened for nursing home and

Medicaid assistance needs or just inpatients at the RHJ VAMC? Proposal is currently only for acute care Veterans at RHJ VAMC.

6- Would the VA be open to a “hybrid solution” that may include onsite staff at RHJ VAMC and use of video conferencing technology distributed to the outpatient clinics? I’m unclear what is being asked. No output Medicaid, only acute care. Proposal does not include VA office space and equipment.

7- If open to a hybrid solution, can both alternatives be presented in our proposal? n/a unless further clarification received

8- Does their have to be a contractor located at each VA location physically every day/ or only at

Ralph Johnson? Will frequent travel be required to the other VA locations for record retrieval or to meet with the Veteran/ and or family members to gather information for applications? Main

Hospital only, no need to travel meet with the veteran or family on-site, may meet with family or veteran multiply times.

9-Approximately how many Medicaid applications are expected per month?

Will Medicaid be a daily service offered to all veterans that want to apply or just for those in an in-care state? a patient referral volume of (4) four patients a month or (48) patient annually.

Possibly may have to serve veterans in Georgia.

10- The announcement mentioned all equipment and materials will be furnished by the contractor; will the VA provide any office equipment copier, computers, locked file cabinets, desk, chairs? No there isn’t an office space available. Will meet directly with the patient at bedside.

11-What was the award amount for the previous contract awardee? Was not previously awarded.

This is a new contract for Ralph H Johnson VAMC.

12-Will there be a requirement for a contractor to work from any of the other facilities and or travel to obtain records or information from patients for applications? Minor traveling follows up with the veteran family or veteran after application is submitted. May have to go to the home to get information from veteran or other locations to get information for the application

13-How long does the enrollment representative have to be onsite daily? Is this Monday-Friday or weekends too? Monday-Friday.
