Pipeline
Use a Capture pipeline to manage pursuits through the active stages of a capture workflow, review pipeline value, and work from each pursuit card.
Overview
A Pipeline is the working board for one Capture workflow. It shows the pipeline's active pursuit value, recent ownership context, capture outcomes, and the stage columns your team uses to move pursuits from triage through active work.
Use a pipeline when you need to review the pursuits in one workflow, move work between stages, add or import pursuits, adjust pipeline settings, or manage pipeline-specific notifications and exports.
Where to find it
Open Pipelines and select a pipeline name from the table.
Sections
Top pipeline statistics
The top of the pipeline shows summary details for the current pipeline.
| Item | What it shows | How to use it |
|---|---|---|
| Updated | The last time the pipeline record was edited. | Use this to see whether the pipeline itself has changed recently. |
| Owner | The pipeline owner. | The owner controls owner-only settings such as transferring ownership. |
| Probable Value | The sum of Probable Value for pursuits in Triage and user-defined active stages. Probable Value comes from Estimated Value and Prob. Win on each pursuit. | Use this as the pipeline's forward-looking weighted value. |
| Estimated Value | The sum of Estimated Value for pursuits in Triage and user-defined active stages. | Use this as the pipeline's forward-looking unweighted value. |
| Capture Rate | Count-based percentages for Won, Lost, and Abandoned pursuits in this pipeline. | Select a badge to open the pursuit list filtered to that pipeline and outcome. |
Important
The pipeline's top Probable Value and Estimated Value are not controlled by Due Date or Est. Award Date. They total pursuits in Triage and user-defined active stages. Moving a pursuit to Won, Lost, or Abandoned removes it from these forward-looking totals and makes it part of Capture Rate instead.
The source type of a pursuit does not change whether it contributes to these metrics. A manual pursuit, imported pursuit, federal opportunity pursuit, grant opportunity pursuit, recompete, forecast, vehicle-related pursuit, or other linked pursuit contributes according to its current stage, Estimated Value, and Prob. Win.
Stage columns
The board shows Triage followed by the user-defined stages in the pipeline. The standard terminal stages, Won, Lost, and Abandoned, are not displayed as board columns. They appear through Capture Rate and the filtered pursuit list because they represent outcomes rather than active work.
Each stage column includes:
- The stage name and pursuit count.
- Add Pursuit, which creates a pursuit directly in that stage.
- A stage action menu.
- Pursuit cards for the pursuits currently in that stage.
- Footer totals for Est. Value and Probable Value for the pursuits currently shown in that column.
Drag a pursuit card to another visible stage to update the pursuit's stage and its order in the destination column. Drag a user-defined stage heading to change the order of active stages in the pipeline. Triage stays at the beginning of the board.
The footer totals help you see how much value is sitting in each stage. When search or filters are active, the visible stage cards and stage footer totals reflect the matching pursuits shown on the board.
Pursuit cards
A pursuit card is a compact entry point into the pursuit. The card shows the pursuit name and may also show details such as federal agency, due date, file count, discussion count, and participant avatars when those details are available.
Select the pursuit name to open the pursuit. Use the card's Pursuit options menu to:
- Edit Pursuit.
- Change the pursuit status to Won, Lost, or Abandoned.
- Delete Pursuit.
Changing a pursuit to Won, Lost, or Abandoned removes it from the visible board and updates the pipeline's Capture Rate. Deleting a pursuit removes it from the board and makes it available in Restore Deleted Pursuits if it still belongs to the pipeline.
Search and filters
Use Search pipeline to search the pursuits in the current pipeline. The search runs across each visible stage and looks for matching pursuit text, including pursuit names and searchable pursuit content.
Use Add Filter to narrow the board by pursuit fields. When filters or search terms are active, stages with no matching pursuits are hidden. If nothing matches, GovTribe shows No Pursuits Found with Reset Search.
Available filters include:
| Filter | Use it to find pursuits by |
|---|---|
| Created | When the pursuit was created. |
| Due Date | The pursuit deadline. |
| Est. Award Date | The expected award timing on the pursuit. |
| Estimated Duration | The estimated duration entered on the pursuit. |
| Estimated Value | A range of estimated dollar values. |
| Federal Agency | The agency linked to the pursuit. |
| Federal Contract Vehicle | The contract vehicle linked to the pursuit. |
| Last Updated | When the pursuit was last edited. |
| NAICS Category | The NAICS category linked to the pursuit. |
| Owned By | The pursuit owner. |
| Pipeline | The pipeline associated with the pursuit. On a pipeline page, the visible board is already scoped to the current pipeline. |
| Probability of Win | The pursuit's Prob. Win percentage. |
| Probable Value | A range of weighted probable values. |
| Pursuit Status | Statuses such as Triage, Active, Won, Lost, or Abandoned. |
| Set Aside | The set-aside type copied or entered on the pursuit. |
| Stage | The current stage assigned to the pursuit. |
| Tags | Tags assigned to the pursuit. |
Use Reset Search to clear the search term and all active filters.
Stage action menu
Use the three-dot menu in a stage column to manage that stage and the pursuit order inside it.
For user-defined stages, the menu includes:
- Edit Stage, which changes the stage Name and Description.
- Move Stage to Another Pipeline, which moves that stage and its pursuits into another pipeline and places it after a selected destination stage.
- Add Stage Before and Add Stage After.
- Delete Stage, which also deletes the pursuits in that stage.
- Sort By Name, Due Date, or Updated, which reorders the pursuit cards in that stage.
The Triage menu is more limited. It supports adding a stage after Triage and sorting the pursuit cards, but it does not support editing, moving, or deleting Triage.
Pipeline action menu
Use the three-dot menu at the top right of the pipeline to manage pipeline-level actions.
| Action | What it does |
|---|---|
| Edit Pipeline | Opens the pipeline edit drawer. |
| Import Pursuits | Imports pursuits into Triage from a CSV file. |
| Export Pursuits | Starts a CSV export of pursuits in this pipeline. GovTribe emails a download link when the export is ready. |
| Manage Notifications | Controls this pipeline's pursuit update email notifications. |
| Restore Deleted Pursuits | Restores deleted pursuits back into Triage. |
| Create Account Template or Update Account Template | Saves the current pipeline as a reusable account template, or updates an existing template. |
| Delete Pipeline | Deletes the pipeline. GovTribe warns that deleting a pipeline also deletes its pursuits. |
| New Pipeline | Opens the same New Pipeline drawer used from the Pipelines page. |
Editing a pipeline
Use Edit Pipeline to update pipeline details and access.
| Field | What it controls |
|---|---|
| Name | The pipeline name shown on the Pipelines page and at the top of this board. |
| Description | The internal description of how the pipeline should be used. |
| Tags | Labels that help categorize the pipeline. Tags are useful for organizing pipelines but do not change pursuit metrics. |
| Allowed Users | Who can view and edit the pipeline. Leave this blank to allow all users in the workspace. |
| Transfer Owner | Moves ownership to another user. This appears for the current owner. |
| Add to Account Templates | Makes this pipeline available as a reusable account template. |
| Template Name | The name shown in the Account Templates tab when creating a new pipeline. |
| Template Description | Optional context for teammates choosing the template. |
Importing and exporting pursuits
Use Import Pursuits when you have a CSV list of federal solicitation numbers to add to the pipeline. Imports always go into Triage.
The CSV file must contain no more than 100 lines and can include:
- Column 1: Solicitation Number. This is required.
- Column 2: Win Probability. This is optional and should be a whole number from 1 to 100.
- Column 3: Estimated Value. This is optional and should be a whole number in dollars.
GovTribe matches solicitation numbers to federal contract opportunities or federal grant opportunities. When it finds a match, it creates or reuses the pursuit, links the source opportunity, and copies available details such as name, due date, federal agency, set-aside, NAICS or grant program information, and contacts. The import results dialog separates Success, Errors, and Duplicates so you can see what was created, skipped, or rejected.
Use Export Pursuits to export the pursuits in the current pipeline. GovTribe prepares the CSV in the background and emails a download link when it is ready.
Managing notifications
Use Manage Notifications to control email notifications for pursuit updates in this pipeline.
| Setting | What it means |
|---|---|
| Enabled | Turns email notifications for this pipeline on or off. |
| Frequency | Sends notifications Instant or as a Daily digest. |
These notifications are for updates that other account users make to pursuits in the pipeline. Changes to the switch or frequency save from the modal.
Restoring deleted pursuits
Use Restore Deleted Pursuits when a pursuit was deleted from the pipeline and needs to return to active work. The modal lists deleted pursuits with Select, Name, Last Stage, Deleted, and a description action when deleted pursuits are available.
Select one or more pursuits and choose Restore. Restored pursuits are placed in Triage so they can be reviewed before moving back into the active workflow. If there are no deleted pursuits available, the modal says There are no available deleted Pursuits to restore and Restore is disabled.
Account templates and new pipelines
Use Create Account Template when the current pipeline should become a reusable starting point for future pipelines. Enter a Template Name and optional Template Description, then create the template. If the pipeline is already a template, the menu changes to Update Account Template and also allows removing the template.
Saved account templates appear in the Account Templates tab of the New Pipeline drawer. That drawer is available from Pipelines and from New Pipeline in this pipeline's action menu. For the full new pipeline setup options, see Pipelines.
Deleting pipelines
Use Delete Pipeline only when the pipeline and its pursuits should be removed. GovTribe shows a confirmation warning because deleting a pipeline also deletes its stages and pursuits.
When a pipeline is deleted, GovTribe returns you to the Pipelines page. If the pipeline should remain available as a reusable workflow, create or update an account template before deleting it.
